Small Businesses Increasingly Search for SharePoint Best Practices as Microsoft 365 Complexity Grows

London, UK – 28 May, 2026 — A rise in searches related to SharePoint best practices is drawing attention to the growing difficulties many small businesses face when managing documents, collaboration and user access within expanding Microsoft 365 environments.

Digital workplace consultancy Adepteq has published a new guide called “SharePoint Best Practices for Small Businesses”, designed to help organisations address the common problems that appear after transitioning away from shared drives and email-based document sharing methods.

Although SharePoint is widely adopted to improve collaboration and information management, many smaller organisations struggle with fragmented files, duplicated documents, unclear permissions and inconsistent adoption among staff. With files often split across Microsoft Teams, inboxes and shared drives, business leaders are increasingly searching for practical advice on how to structure and govern SharePoint more effectively.

The guide starts with an illustrative example reflecting the experiences of many growing organisations. In the scenario, an architectural practice experienced confusion caused by documents being spread across different systems, resulting in outdated files being used, sensitive data being exposed to the wrong people, and employees struggling to locate important templates and policies. By introducing SharePoint as a centralised platform with structured permissions, version control and approval workflows, the organisation improved information reliability and operational efficiency. The scenario is included as an example rather than a verified customer story.

Phil Cave, Technical Director at Adepteq, commented: “What we see time and again is that SharePoint itself isn’t the problem. Small businesses struggle when it’s introduced without clear objectives, structure or ownership. The questions people are searching for online reflect a need for practical guidance on how to make SharePoint work day to day, not just how to switch it on.”

The guide outlines the advantages SharePoint can provide small businesses as part of Microsoft 365, including secure document storage, knowledge hubs and intranets, real-time collaboration, workflow automation, and enhanced compliance and access management. It also highlights how these features are often underutilised when organisations lack governance processes and user support.

Recommendations include setting clear objectives before implementation, building a scalable and straightforward information architecture, using metadata instead of deep folder hierarchies, assigning permissions through groups, and focusing on training and adoption. The guide also identifies common mistakes such as recreating legacy file structures and expecting employees to adapt without guidance.
